Job Purpose:
An Accounts Payable (AP) Specialist in a construction company is responsible for managing and processing payments for goods and services, ensuring accuracy and efficiency in financial transactions. This role involves reviewing invoices, verifying vendor information, processing payments, and maintaining financial records related to payables.
Invoice Processing: Receiving, reviewing, and processing invoices from vendors and subcontractors, ensuring accuracy and proper documentation.
Payment Processing: Preparing and processing payments via check, wire transfer, or electronic transfer, and managing payment schedules.
Vendor Management: Maintaining positive relationships with vendors, responding to inquiries, and resolving discrepancies.
Reconciliation: Reconciling accounts payable statements and ensuring accurate coding of expenses to cost centers and GL accounts.
Lien Waiver Management: Managing and tracking lien waivers from subcontractors and suppliers.
Reporting: Assisting with monthly and year-end closing, preparing AP-related reports, and supporting audits.
Compliance: Ensuring compliance with company policies, procedures, and financial regulations, including lien waiver requirements.
Specific Tasks in a Construction Context:
- Matching invoices to purchase orders and receiving documentation.
- Verifying subcontractor invoices for lien waivers and accuracy.
- Ensuring proper documentation and approvals for payments.
- Communicating with project managers regarding invoice and payment issues.
- Maintaining vendor information and W-9 forms.
- Tracking project costs and expenses.
Skills and Qualifications:
- Strong knowledge of accounting principles and practices.
- Proficiency in accounting software and Microsoft Office Suite.
- Excellent attention to detail and accuracy.
- Strong organizational and time management skills.
- Good communication and interpersonal skills.
- Experience with construction accounting software is a plus.
- Knowledge of lien waivers and construction contracts.
