HR & Administration Supervisor

Job Purpose:

The HR Supervisor will oversee and coordinate all Human Resources functions across the company's projects. This includes workforce planning, recruitment, employee relations, attendance, payroll coordination, and supporting administrative compliance. The role ensures HR practices are consistent, efficient, and aligned with company policies and labor laws.

Key Responsibilities:

1.      HR Operations & Support

  1. Supervise day-to-day HR operations across all project sites and the head office.
  2. Coordinate with project managers to track manpower needs and deployment.
  3. Monitor attendance, timekeeping, and leave management across projects.
  4. Ensure HR documentation (contracts, files, IDs) is maintained and up to date.

2.      Recruitment & Onboarding

  1. Assist in sourcing, screening, and hiring skilled and general staff for each project.
  2. Organize and facilitate onboarding, including induction and policy briefing.
  3. Maintain recruitment records and track hiring needs per project.

3.      Employee Relations

  1. Address employee grievances professionally and escalate when necessary.
  2. Promote positive work culture and enforce discipline procedures.
  3. Monitor employee satisfaction and engagement across project sites.

4.      Payroll management

  1. Gather and verify attendance and overtime data for payroll processing.
  2. Coordinate with the finance team for timely and accurate salary disbursements.
  3. Track and report on any deductions and earnings.

5.      HR Policy & Compliance

  1. Ensure adherence to labor laws and internal HR policies.
  2. Conduct routine audits of HR documentation and processes at each site.
  3. Support the implementation of health and safety compliance.

6.      Reporting & Records

  1. Prepare monthly HR reports (headcount, turnover, leave, etc.).
  2. Maintain organized digital and physical HR files.
  3. Assist with internal or external audits when required.

 

Qualifications:

  1. Bachelor’s degree in HR, Business Administration, or related field.
  2. Minimum 3–5 years of experience in HR roles, preferably in project-based or field settings.
  3. Strong knowledge of labor law and HR best practices.
  4. Excellent communication, organizational, and problem-solving skills.
  5. Proficient in MS Office and HR software (Odoo or similar is a plus).
